Alvin for HVAC

Plans renewed. Parts ordered. Rebates filed.

Alvin is the personal assistant for HVAC companies. Ask between calls, or forward the email. Alvin renews maintenance agreements, registers equipment, files the rebates and orders parts from your supply house. Anything that spends money waits for your tap.

What should Alvin get off your plate?

Renew every ServiceTitan maintenance plan expiring in November, order 12 MERV-11 filters from Johnstone, and log the rebates in QuickBooks.

The back office of an HVAC company runs on deadlines.

Every install starts a clock: registration windows, rebate deadlines, renewal dates. The work is easy. Remembering all of it is not.

Maintenance-agreement renewals

Agreements lapse quietly. Every lapsed member is a tune-up you won’t book and a no-cool call you might lose in July.

Alvin lists who expires this month, sends renewals in your wording, and books the spring or fall visit when they renew.

Equipment registration

Many manufacturers want registration within 60 days of install for the longer parts warranty. Miss it and the coverage drops.

Alvin registers each install in the dealer portal with model and serial numbers from the job, and saves the certificate to the customer.

Manufacturer and utility rebates

The form wants the AHRI certificate, the invoice, the serials and a deadline nobody wrote down.

Alvin gathers the documents, files on the utility or manufacturer portal, and follows up until it’s paid or denied.

Parts from the supply house

Capacitors, contactors, filters, a coil on backorder. Called in, or typed into a portal at night.

Alvin builds the cart at Johnstone, Ferguson HVAC or your distributor, checks the branch for pickup, and waits for your OK.

Warranty claims

A failed compressor under warranty means a parts claim, a labor claim and a portal that wants the old part’s serial.

Alvin opens the claim from the tech’s notes, uploads what it asks for, and tells you when the credit posts.

Financing paperwork

The customer said yes. The lender still needs the signed proposal, a completion cert and a funding request.

Alvin uploads the documents to the lender portal you use, checks status, and tells you when it funds.

Close out an install in one request.

A finished changeout touches ServiceTitan, the manufacturer, the utility and the books. Here’s one request doing all four.

HVAC questions. Straight answers.

Can Alvin register equipment and file rebates?

Yes. Alvin registers installs in the Carrier, Trane, Lennox or other dealer portal with your dealer login, and files utility and manufacturer rebates with the AHRI certificate, invoice and serials from the job. Each one is tracked until it’s approved or paid.

Does Alvin work in ServiceTitan?

Yes, and in Housecall Pro. Alvin reads jobs, agreements and equipment records, and updates them along the way. ServiceTitan’s own AI helps inside ServiceTitan. Alvin handles requests that cross into QuickBooks, supply houses and portals.

Will Alvin order parts without asking?

Not unless you say so. Orders wait for your tap by default. You can set limits per role, for example techs can order up to $500 in parts. You stay the buyer on your own supply-house account.

Can Alvin handle warranty claims?

Alvin opens the claim in the manufacturer portal with the model, serial, failure and tech notes, uploads what it asks for, and follows the credit. Diagnosis and repair stay with your licensed techs.
